LINC Office Assistant - Richmond Hill Welcome Centre

COSTI REQUIRES A PART TIME OFFICE ASSISTANT FOR ITS LANGUAGE & SKILLS TRAINING SERVICES, RICHMOND HILL WELCOME CENTRE

Duties:

  • Provides administrative and secretarial support to the LINC (Language Instruction for Newcomers to Canada) program.
  • Handles student and client inquiries in person, on the telephone, via email and virtual meeting tools regarding COSTI’s programs and services.
  • Verifies, complies, corrects and types statistical and narrative reports.
  • Prepares and types letters, documents and certificates for signature regarding status of students.
  • Prepares and distributes bus tickets to eligible clients and maintain records.
  • Creates, organizes and maintains operational files online.
  • Liaises with assessment centre for client intake assessment and placement.
  • Communicates with Welcome Centre partners for client referrals.
  • Responsible for client registration online and in person.
  • Supports new clients’ access on Zoom to prepare for attendance in virtual classes.
  • Collects and inputs client data into iCARE, CLARS, CIS and Welcome Centre systems.
  • Prepares and distributes materials for program outreach.
  • Orders office supplies as required.
  • Maintains inventory of program materials and supplies.
  • Performs other administrative duties as required.
  • Assists with reception duties at the Welcome Centre as required.
  • Qualifications:

  • Ability to work remotely and independently using the phone, computer and internet.
  • Knowledge of Google Drive and Google Classroom.
  • Experience using virtual meeting tools such as Zoom, High-Five or Go-to-Meeting.
  • Advanced knowledge of MS Word, Excel, Internet and email.
  • High school graduation or equivalent and 1 year office experience.
  • Good written and oral communication skills.
  • Good administrative skills, typing speed of 40 words per minute is essential.
  • Knowledge of office procedures, capable of meeting timelines.
  • Demonstrated ability to work in a team-oriented environment.
  • Excellent customer service skills and sensitivity towards educational needs of newcomers.
  • Ability to speak second language rather than English is an asset.
  • Knowledge of iCARE, CIS or CLARS would be an asset.

    Duration of Position:

    August 31, 2020 until March 31, 2021.

    Starting Salary Range:

    $21.24 – $22.86 per hour

    This is a part-time non-union contract position scheduled to work 11 hours per week; Tuesday and Thursday 9 a.m. - 3 p.m.

    Program Closure Dates:

    December 21, 2020 to January 1, 2021.

    March 15, 2021 to March 19, 2021.

    Due to the COVID19 pandemic, work will be completed remotely using COSTI equipment. Once Public Health directives are lifted and COSTI has decided to physically reopen, this position will be working primarily from our Vaughan and Newmarket locations.
