Senior Administrator
COSTI REQUIRES A SENIOR ADMINISTRATOR FOR THE ADMINISTRATION DEPARTMENT
Duties:
Provides confidential senior level administrative support services to the department.
Administers and posts all job vacancies; maintains COSTI’s job board website and distribution database, including advertisement, print and web media. Maintains competition files for all job vacancies, from the opening of the file to the closing of the competition.
Leverages technical expertise in the systems conversion to Microsoft Dynamics Nav and embeds ways of using technology into everyday working practices.
Composes, types, and proofreads correspondence, reports and presentations; researches, complies, reviews and summarize data from reports and documents. Prepares statistics charts and back-ground documents as necessary.
Maintains, monitors and tracks employee related reports and databases in Excel.
Provides administrative support including minute-taking, typing hiring related documentation, photocopying, and distribution of correspondence.
Responds to general HR inquiries via telephone, in person or email.
Coordinates scheduling of new employee orientation sessions and prepares related materials.
Assists in the coordinating and organizing of special projects, including the annual staff conference, agency training initiatives, and recognition programs.

Qualifications:
Post secondary education, preferably in Business Administration.
Minimum 3 years of experience providing administrative services at a senior or executive level. Preference will be given to those who have provided senior level administrative support in a unionized environment.
Demonstrated advanced computer skills are required in Microsoft Office with emphasis on Excel, and internet/intranet.
Previous experience working with an HRIS system would be an asset, specifically Microsoft Dynamics NAV.
Demonstrated ability to work independently and within a team where flexibility, anticipating needs and taking initiative is essential.
Experience applying Collective Agreements, organizational policies & procedures, along with familiarity with Employment Standards, would be an asset.
Well-developed verbal and written communication skills in English. The ability to speak another language is an asset.
Positive approach to managing relationships and problem solving.
Proven ability to work within a multicultural setting.
Highly developed organizational skills and detail oriented.

This is a full time non Union position scheduled to work 35 hours per week.
